How Many Medicare Advantage Leads Can You Actually Work During AEP?

Buy to execution capacity, not ambition

An agent can order 100 Medicare Advantage leads in a few minutes. That does not mean the agent can responsibly work 100 new opportunities while also handling client reviews, plan comparisons, applications and follow-up. During AEP, capacity is a production number, not a feeling.

Buying too few leads can leave empty appointment blocks. Buying too many creates slow response, incomplete follow-up and a misleading conclusion that the leads failed. The goal is to find the highest sustainable volume that preserves speed and service.

Start with the time you can actually protect each week. Remove existing-client reviews, required meetings, administrative work and personal obligations. The remaining hours are the capacity available for new lead contact and the appointments those leads create.

Calculate the hidden work behind every new lead

A new lead is not one phone call. It may require an immediate first attempt, additional attempts at different times, a permitted text or email, an appointment, reminders, a plan comparison, documentation, an application and post-enrollment follow-up.

Use your own averages whenever possible. Estimate the number of contact attempts required per new lead, the average time per attempt, the percentage that schedule a review and the average time required for each completed review. Add administrative time. Then compare that workload with the hours available.

A basic planning formula is: weekly contact hours divided by average working time per new lead, adjusted downward for the appointments and enrollment work successful contacts generate. The purpose is not perfect forecasting. It is preventing a 50-lead order from entering a calendar with room for 20.

Use a controlled starting campaign

For an agent without current Medicare lead benchmarks, a controlled campaign is more useful than a dramatic launch. Work enough leads to observe patterns, but keep the batch small enough that every opportunity receives prompt and repeated attention.

Choose geography based on licensing, carrier appointments, plan knowledge and the way you sell. A local face-to-face producer may prioritize a tighter service area. A virtual agent with statewide appointments and strong remote workflows may benefit from broader reach.

Know when you are ready to increase volume

Volume can increase when first attempts consistently happen inside the target response window, every lead has a recorded disposition, follow-up tasks are completed on time and appointment work is not delaying new inquiries.

If leads are sitting untouched, appointments are being forgotten or notes live outside the CRM, increasing spend will magnify the failure. Fix the process first. A disciplined 20-lead campaign can produce more usable information than 100 names spread across text messages, paper notes and memory.
